Credit Card Charges

Intro – Credit Card Charges #

Use Credit Card Charges to record credit card spendings. Before entering transactions, ensure that a credit card record has been created.

  • Credit Card Charge is a posting transaction.
  • Support home or base currency transaction only.
  • For foreign currency transaction, please use “Payment” app, it supports credit card payment with either home or foreign currency.

Transactions Tab #

All credit card charge transactions are displayed in the “Transactions” tab. For privacy and security, employees can only view their own transactions. Supervisors, however, have the authority to view the transactions of their direct subordinates.

  • User with admin privilege can view all users’ transactions.
  • User with accountant role can view all transactions due to this role has full permission on “Credit Card Charges” app.

Chart Tab #

Users can view summary card spendings in chart format over the past 6 months. To see the chart for a specific employee, simply select their name from the dropdown menu. Please note that privacy, security and roles will determine if you have the proper access to view the selected data.

Create a New Credit Card Charge #

  • Go to Bank / Credit Card on the left sidebar, and select Credit Card Charges
  • Click Add New button.
  • Fill in the following fields
    • Expense number is an auto generated number.
    • Date: The default date is today.
    • Card Name: Select the credit card you used for the payment. 
    • Employee: System auto fill the employee who was previously assigned to this card.
    • Description: Enter the details of the expenses incurred, up to 300 characters.
    • Total Amount: This field shows the total amount charged and cannot be edited.
    • Amount Details:
      • You can enter up to 3 categories or 3 expense accounts. So that at least 1 expense account you need to specify together with its amount.
      • After completing the first line of expense, click or tap “Show More” button if you want to enter more expense line.
      • Quick Buttons: Use these icon buttons to quickly access expense accounts or categories. You can change which account each button links to.
      • Expense Account: Select an appropriate expense account to track your expenses.
      • Amount: Enter positive amount.
      • Billable: Select this option if you will bill a customer later.
    • Customer: If any of billable option is selected, choose a customer you will bill.
    • Project: Select the customer’s project, if applicable.
    • Click Save
